Why quotes go quiet
- They are comparing two or three quotes.
- They are waiting on a spouse, a budget or insurance.
- They got busy and forgot.
- They had a question and did not want to call.
A follow-up schedule that works
For large jobs like roofs or system replacements, stretch the schedule over more weeks.
- Day 1: check the quote arrived and ask if they have questions.
- Day 3: answer a common question for that kind of job.
- Day 7: a short check-in.
- Day 14: ask if the timing changed, and offer to adjust the scope.
- Day 30: a last, friendly message so you can close it out.
What to say
Make it automatic
The schedule only works if it happens every time. Most contractors lose track once the busy season starts. Setting it up once in your software, or having someone run it for you, means every quote gets the same follow-up without anyone remembering.
Know when to stop
If someone says no, thank them and stop. If they do not reply after the last message, close it out. A clean list tells you your real close rate.
